About the Role
The Operations Executive role is primarily to support the sales process, taking over at a critical stage and arranging all of the services that will turn the villa rental from an ordinary holiday, to an extraordinary holiday. Typically, the executive will act as an interface between the client and all services booked and delivered in destination. This will involve communicating effectively and courteously with all the Company’s suppliers, providing them with all the information they need about each booking and maintaining excellent relations. You will also oversee the production of attractive and accurate electronic documentation.
You will work in close partnership with the key sales staff to develop excellent communications and teamwork. In addition, you will assist with analysis and review of all sales and operational systems with a view to implementing continuous improvement. Managing and loading data and maintaining accurate records on the company’s Darwin reservations system will be integral to the success of this role. Whilst backing up the sales team, there will be the opportunity to speak directly to clients and respond to enquiries with efficiency, accuracy and courtesy. A degree of creativity will also be part of the role, sourcing photography and liaising with the marketing team to help plan successful social media and marketing campaigns.
The role itself requires an ability to think proactively under pressure, be able to adapt to fast-moving and dynamic situations on the ground and above all, to empathise with each client’s individual needs. As the successful candidate will also be dealing with the villa owners (often European) and other suppliers on the ground, an ability to speak a foreign European language often makes a significant difference in terms of completing a task successfully. However, foreign language skills are not a pre-condition to securing this role.
Candidates that show real sales aptitude will also be taught to sell and ultimately may be be able to join the sales team.
This is an exciting role and will suit either a recent graduate, or a seasoned travel specialist. We are also not committed to employing graduates only. Those who have not gone to university will be equally considered provided they have earned the equivalent of a degree in ‘life’ – eg. doing something interesting whether educational, business orientated or philanthropic.
- A passion for experiential travel and a deep-rooted desire to be immersed in the world of Luxury Villas.
- The drive and personal characteristics to help grow villa sales by ensuring the service offered is second to none, thus ensuring repeat business from satisfied and happy clients.
- When buying extra services, negotiation skills to achieve the best possible commercial terms, including rates, inclusions, payment schedules and cancellations policies.
- Intelligent willingness to immerse yourself in the subject by reading all appropriate travel columns / luxury magazines.
- Excellent writing skills and understanding of grammar.
- Good creative eye for photography.
- Good numeracy skills and commercial flair.
- Ability to communicate effectively from both a written and oral standpoint.
- Proactive, creative character with high degree of initiative and resourcefulness.
- Luxury brand experience is an advantage, though not essential.
- Entrepreneurial ‘can do’ attitude.
- Deep rooted and visceral customer service ethic.
- Excellent interpersonal skills and team player.

Currently team members work in our large, open plan office on Tuesday-Thursday, and from home on Monday & Friday.

Salary: £19,000 – £23,000 pa + bonus, dependent on experience
